Refund and Cancellation Policy

1. About this policy

The Women in STEM Network is operated by Mums in Science Ltd, a company registered in England and Wales under company number 14418391.

This policy explains how cancellations and refunds are handled for memberships and other purchases made through The Women in STEM Network website.

This policy should be read alongside our Terms and Conditions, Membership Terms, Privacy Policy and, where applicable, the specific terms provided for an event, programme or other service.

Nothing in this policy affects any statutory rights that cannot legally be excluded or restricted.

2. Memberships

The Women in STEM Network offers free and paid membership options. Paid memberships may be billed monthly, annually or on another billing schedule clearly displayed at checkout.

Before completing a purchase, members are shown the applicable membership fee, billing period and whether the membership renews automatically.

Paid membership normally begins immediately after payment has been successfully completed. This may include immediate access to member-only areas, digital publications, recorded workshops, training materials, mentoring resources, directories, online communities and other membership services.

3. Your right to cancel

If you are purchasing a membership online as a consumer in the United Kingdom, you will normally have the right to cancel within 14 days of entering into the membership contract without giving a reason.

The 14-day cancellation period begins on the day after the membership is purchased.

Because membership access is made available immediately, we may ask you during checkout to confirm that:

  • you want your membership and its associated services to begin during the 14-day cancellation period;
  • you understand that immediate access may include digital content and member-only resources; and
  • where legally applicable, your cancellation or refund rights may be affected once digital content has been accessed or services have been supplied.

If you cancel during the 14-day period after asking us to begin providing membership services immediately, we may deduct a reasonable and proportionate amount for services already supplied before we received your cancellation request.

Where digital content has been supplied immediately following your express consent and acknowledgement, your statutory right to cancel that digital content may be lost once supply has begun. This does not remove any rights you may have if the digital content is faulty, misdescribed or not supplied with reasonable care and skill.

4. Cancelling a recurring membership

You may cancel a recurring membership at any time through your membership account or by contacting us.

Cancelling a membership stops future automatic renewal payments. Unless a refund is due under this policy or required by law, cancellation does not normally produce a refund for the current billing period.

After cancellation, you will normally continue to have membership access until the end of the period for which you have already paid. Your access will then end automatically.

For example:

  • cancelling a monthly membership stops the next monthly payment; and
  • cancelling an annual membership stops the next annual renewal.

Cancelling a membership does not automatically refund previous membership payments.

Members should cancel before their next renewal date if they do not want another payment to be taken.

5. Refunds after the 14-day cancellation period

After the applicable cancellation period has ended, membership fees are generally non-refundable simply because a member:

  • has changed their mind;
  • has not used all or part of the membership;
  • has not attended events or activities;
  • no longer needs the membership;
  • has forgotten to cancel before renewal; or
  • has not used the available member resources.

Membership provides ongoing access to a collection of services, opportunities and resources. The value of membership is not determined solely by how frequently an individual member chooses to use it.

We may consider exceptional circumstances individually, but doing so does not create an obligation to provide a refund in other cases.

6. Automatic renewals

Where a membership renews automatically, the renewal arrangement and billing frequency will be shown before purchase.

It is the member’s responsibility to cancel before the renewal date if they do not want the membership to continue.

If you believe that a renewal payment was taken after you had already cancelled, please contact us promptly. We will check the membership and payment records and refund any payment taken in error.

7. Duplicate and incorrect payments

If you have been charged twice for the same membership period, charged an incorrect amount or charged after a properly completed cancellation, please contact us as soon as possible.

Once the error has been confirmed, the incorrect payment will be refunded to the original payment method.

8. Changing membership level

Moving from one membership level to another may affect your payment amount, renewal date and access to membership benefits.

Any credit, additional payment or adjustment will be explained during the change process or confirmed separately before the change is completed.

A membership change does not automatically entitle the member to a refund unless this is displayed as part of the change or required by law.

9. Concessionary and discounted memberships

Concessionary, promotional and discounted memberships are covered by the same cancellation and refund rules as other paid memberships unless different conditions were clearly provided when the membership was purchased.

If a promotional code or reduced rate was applied, any approved refund will be based on the amount actually paid rather than the standard membership price.

10. Group and corporate memberships

Group, organisational, charity and corporate memberships may be governed by a separate agreement, proposal or invoice.

Where separate written terms have been agreed, those terms will take priority over this policy to the extent that they address cancellation, renewal or refunds.

Statutory consumer cancellation rights do not normally apply to purchases made wholly for business purposes.

11. Events, programmes and separately purchased services

Tickets, training programmes, sponsorships, mentoring services and other purchases made separately from membership may have their own cancellation and refund conditions.

Any specific conditions will be shown on the relevant booking page, payment page, invoice or agreement. Where another organisation, such as an event platform, processes a booking, its applicable booking and refund procedures may also apply.

Membership cancellation does not automatically cancel or refund a separately booked event, programme or service.

If The Women in STEM Network cancels a paid event or service without providing a suitable alternative, the amount paid for that event or service will normally be refunded.

Changes to speakers, facilitators, schedules or programme content do not necessarily constitute cancellation where the event or service can still reasonably be delivered.

12. Technical problems and unavailable services

If you cannot access your membership, please contact us so that we can investigate and try to restore access.

A temporary technical interruption does not automatically entitle a member to a refund. If a substantial part of a paid service cannot be provided for a significant period, we will consider an appropriate remedy, which may include extended access, replacement provision, a partial refund or a full refund, depending on the circumstances and our legal obligations.

13. Faulty or misdescribed services and digital content

You may have statutory rights if a service or item of digital content:

  • has not been provided with reasonable care and skill;
  • is materially different from its description;
  • is not of satisfactory quality;
  • is not fit for its stated purpose; or
  • has not been supplied as agreed.

Please contact us if you believe this applies. We may first try to correct the problem or restore the service where it is reasonable to do so. This section does not limit any remedy available to you under applicable consumer law.

14. How to request cancellation or a refund

You can cancel a recurring membership through your membership account where that option is available.

You may also request cancellation or a refund by contacting:

The Women in STEM Network
Email: [email protected]
Telephone: +44 (0)20 8242 1799

Please provide:

  • your full name;
  • the email address used for your membership or purchase;
  • the date and amount of the payment;
  • the membership, event or service concerned;
  • whether you are asking to cancel future renewals or requesting a refund; and
  • a brief explanation of the issue where relevant.

You do not have to provide a reason when exercising a statutory right to cancel during an applicable cooling-off period.

15. Cancellation statement

If you wish to exercise a statutory right to cancel, you may use the following wording:

To The Women in STEM Network, operated by Mums in Science Ltd:

I give notice that I wish to cancel my contract for the following membership or service:

Membership or service:
Ordered on:
Name:
Address:
Email address:
Date:

You may send this statement by email. You do not have to use this exact wording, provided your decision to cancel is clear.

16. Processing approved refunds

Approved refunds will normally be made to the original payment method.

We will process refunds without undue delay and normally within 14 days after confirming that a refund is due. The time taken for the payment to appear in your account may depend on your bank, card provider or payment processor.

We are not responsible for differences caused by exchange-rate movements or charges imposed independently by a bank or payment provider, except where the law requires otherwise.

17. Membership access following a refund

Where a full membership payment is refunded, access to paid membership benefits may end when the refund is approved.

Where a partial refund or other remedy is agreed, we will explain whether access will continue and, if so, for how long.

Cancelling paid membership does not necessarily delete your website account or personal information. Information is handled in accordance with our Privacy Policy and applicable legal retention requirements.

18. Members outside the United Kingdom

The Women in STEM Network has an international membership.

Members may have mandatory consumer rights under the laws that apply where they live. Nothing in this policy is intended to remove any rights that cannot lawfully be excluded.

Where local law provides greater protection than this policy, the applicable mandatory legal rights will take priority.
